Introduction
Pixoye exists to move event photos from the people who capture and host them to the people who were there—usually through shared galleries and links, and sometimes through optional matching that surfaces shots that may include a particular guest. The sections below spell out the personal information that flows through Pixoye for that purpose, what Pixoye does with it, how long it stays, which partners help operate the service, and what you can decide along the way.
Face-related information in this policy
If you use face matching, the following sections describe how we handle that information:
- Face data we collect
- Why we store and use face data
- Face data retention and deletion
- Third parties and face data
- Profile photo and face reference
Face data we collect
When you choose to use face-matching features through Pixoye, we may collect and process the following types of face-related information:
- Reference photo: a picture you take or upload so we can help you find images of yourself in galleries or share links you are allowed to access.
- Information from comparison: when we use partners to compare images, we receive only what is needed to show you your matches (for example, which photos in an album may be yours). We use that solely to deliver the feature.
- Photos in galleries and events: images uploaded by hosts or photographers may show people’s faces. We use those images for face matching only when you start a matching flow in a gallery you opened—not for unrelated advertising, and we do not sell face data.
Why we store and use face data
We store and use face-related information only to provide the features you choose. That includes:
- Providing face matching: to help you find your photos in albums or links you access without scrolling through every image.
- Optional saved reference: if you choose to keep a reference on your account, so you may not need a new photo every time you use matching (where the product supports this).
- Security and integrity: protecting accounts and the service against misuse, in line with ordinary business operations.
- Legal requirements: where the law requires us to keep or disclose information.
Event hosts decide how galleries and links are shared. You should read any notices they give you. Where the product offers other ways to view photos (such as browsing the full gallery), using face matching is your choice.
Face data retention and deletion
We do not keep face-related data forever. It is kept only for clear purposes and limited periods:
- Saved reference on your account: We keep your stored reference photo and related account details while your account is active and you have not removed the reference. If you remove your face reference in your account settings or close your account, we delete the stored reference and related records from our live systems without undue delay, usually within a few days, allowing for normal processing. Any remaining copies are limited as described next.
- Backups: Deleted information may remain in secure backups for up to about 90 days (or less if our backup cycle is shorter), then is removed as backups roll forward. Backups exist only for recovery after outages or errors—not to reuse your face data for new purposes.
- Legal matters: We may need to keep certain information longer if the law, a valid legal request, or a dispute requires it, and only to the extent necessary.
- Gallery photos: How long event and gallery images are kept depends on the host’s plan and settings, as described under Retention below.
We keep a saved reference only for as long as it is useful for the optional matching experience you asked for; we do not keep it without a time-bound, legitimate reason. Backup periods follow common industry practice for safe operations.
Third parties and face data
We work with trusted providers to host Pixoye and, when you use face matching, to help compare images under our instructions. Face-related content may be sent to those providers only to run the service you requested, not for their own marketing.
- Comparison and hosting partners: Images you submit for matching may be processed by contracted providers so we can compare your reference with gallery photos you are entitled to see. They act on our behalf under agreements that limit how they may use the data. Their own privacy notices explain whether they keep any logs or copies, and for how long—we encourage you to read those notices. We require providers to use this information only to deliver services to us and our users.
- Other providers: Providers that handle hosting, storage, sign-in messages (such as one-time codes by SMS or email), or similar services may handle personal data as needed to operate Pixoye. Face-related data is shared with them only where necessary for those services.
Why we share face-related data with others: solely to operate face matching, store what you upload, keep the service secure and reliable, and meet legal duties. We do not sell face data to data brokers.
Profile photo and face reference
Your optional profile photo and reference image used for matching are stored with care: access is tied to your account, and data is protected in transit using standard safeguards. We do not use your reference image or profile photo as public marketing material, and we do not place them on public gallery pages for anyone to browse. A profile image may appear only in parts of the product where you would expect account or team-related information to be visible to people you already interact with through Pixoye. The reference image is meant for matching in flows you start, not for public display.
You can change or remove your reference and manage your profile photo in your account where those options are available.
Information we collect
- Account data: name, phone number, email (if you provide it), country code, and sign-in information such as one-time passwords.
- Billing and payment records: billing contact details you provide at checkout, subscription and invoice information, and limited payment metadata as described under Payments and billing (not full card or banking credentials).
- Photos and media: images you upload to events, portfolios, or share links, and optional selfies or reference photos as described under Face data we collect.
- Usage and device data: such as IP address, browser or app version, timestamps, and basic information we need to run and protect the service.
- Communications: messages you send us through contact forms or support.
How we use information
We use information to provide Pixoye (galleries, share links, sign-in, optional face matching), to keep the service reliable and secure, to comply with the law, and—if you agree—to send service-related messages.
Sharing
We do not sell your personal information. We may share data with providers who work for us (for example hosting, comparison services where you use matching, or delivery of sign-in codes), or when the law requires it. More detail on face-related sharing is in Third parties and face data.
Payments and billing
When you purchase a Pixoye subscription or pay a renewal on our website, your payment is processed by Razorpay, the default online payment service enabled on Pixoye. Razorpay provides a secure checkout where you enter payment details directly with them. Pixoye does not collect or store your full credit or debit card number, card verification value (CVV), PIN, or complete banking credentials on our servers.
After a successful payment, we may keep a limited payment record so we can confirm your purchase, support billing enquiries, and meet accounting or legal requirements. For card payments processed through Razorpay, this typically includes:
- Payment method (for example, card, UPI, net banking, or wallet, as reported by the payment service);
- Last four digits of the card, when a card was used; and
- Card network or type (for example, Visa or Mastercard), when a card was used.
We do not retain other card or banking details from the checkout. Transaction references such as an order or payment identifier, amount, currency, and status may also be stored to operate billing and your account. Payment verification data used only to confirm a transaction is not kept after the payment is confirmed.
We also collect billing contact information you provide at checkout (such as name, email, phone number, and billing address) to issue receipts and manage your subscription. That information is separate from your payment credentials and is handled under this policy.
If you subscribe through the Pixoye mobile app, payments may be processed by the Apple App Store or Google Play, depending on your device. Those stores handle payment details under their own terms and privacy policies; Pixoye receives confirmation of your purchase and subscription status, not your full card details.
Razorpay, Apple, and Google each maintain their own security and privacy practices for payment processing. We choose partners that use industry-standard protections for payment data in transit and at rest. For questions about how a payment partner handles your information, please refer to their published privacy notices.
Retention
We keep account and service information while your account or gallery is active and for a reasonable time afterward for backups, disputes, and legal needs. Face-related retention is explained in Face data retention and deletion; gallery content follows host settings and plans. Limited payment records (such as amount, status, payment method, and where applicable the last four digits and card network) are kept for billing, support, and legal purposes in line with ordinary business and tax requirements.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or limit use of your data—including face reference data. Contact us through the options on our website to make a request.
Children
Pixoye is not aimed at children under 13 (or the minimum age where you live). If you believe we have collected a child’s data by mistake, contact us and we will take appropriate steps.
Changes
We may update this policy from time to time. The current version is always the one published on this page. If we make important changes about face-related data, we will notify you when the law requires us to do so.
